Digital Records Management: an essential guide to data protection for FMs
With the rapid growth of cloud-based solutions delivered by third party providers, facilities managers find themselves increasingly drawn into the thorny issue of data protection at work. Whether deploying a new room booking software application, or setting up an online Learning Management System (LMS), organisations need to think carefully about what sort of data is being processed and for what purposes, where and how it is being stored, and who has access to it.
This is being thrown into sharp focus by the advent of the new General Data Protection Regulation (GDPR) coming into force in 2018 and which FMs must prepare for. A key piece of European law, it will give individuals at work many more rights to be informed not only about what data is being kept about them, but also about how and where it is stored; and also the right to potentially have records erased. A further complicating factor is the UK’s decision to withdraw from the EU from March 2019.
To address these issues, the British Institute of Facilities Management (BIFM) is hosting a practical seminar on the subject, chaired by David Sharp, MD of International Workplace, in which John Macaulay, Director of Greenwoods Solicitors LLP, will explain some of the key principles behind the Data Protection Act 1998, and will look at the proposed changes that are likely to be brought in under the GDPR. For example, organisations will be required to demonstrate for the first time how they comply with data protection principles, such as by documenting any decisions that are taken about a processing activity.
The seminar, which takes place at King’s College London on 23 May, will include a presentation from an organisation involved in the development and delivery of online services, to demonstrate the hands-on issues that FMs and service providers face when specifying cloud-based services and dealing with the day-to-day problems of digital records management.
